At Koko Africa Safaris, we understand that a well-planned journey requires flexibility, convenience, and clarity in payment processes. Our payment policy has been designed to provide you with maximum flexibility while ensuring a secure and reliable booking experience. Whether you're planning an adventure months ahead or making last-minute arrangements, we have provisions in place to make the process smooth and transparent.
Payment Terms & Conditions
To confirm your booking with Koko Africa Safaris, a 30% deposit of the total package cost is required. This deposit serves as a commitment to securing your travel arrangements and ensures that your itinerary and accommodations are fully confirmed.
- Deposit Payment: A 30% non-refundable deposit is required to confirm all bookings.
- Balance Payment: The remaining balance must be paid in full 30 days prior to the commencement of your tour. This allows us to finalize all your travel arrangements seamlessly.
- Late Bookings: For bookings made less than 30 days before the tour start date, full payment is required upfront, or at least a 50% deposit, with the remaining balance payable upon arrival or prior to the tour start date.
All payments can be made through bank transfer, credit cards, or other approved payment gateways. Should you require assistance with the payment process or have specific payment preferences, our team is available to guide you.
Cancellation & Refund Policy
We understand that unforeseen circumstances can arise, leading to a change in your travel plans. Below are our cancellation terms:
- If you cancel more than 120 days before the tour starts, we will retain 25% of the total payment to cover administrative and processing fees.
- If you cancel between 119 to 90 days before the tour start date, we will retain 50% of the total payment.
- If you cancel between 89 to 31 days before the tour start date, we will retain 75% of the total payment.
- If you cancel within 30 days or less before the tour start date or in case of a no-show, 100% of the total payment will be retained.
Refund Process: In cases where a refund is applicable, we will process the refund within 14 business days of receiving the cancellation request. Please note that bank transfer fees and currency fluctuations may affect the refund amount. Refunds will be made using the same method as the original payment.
Rescheduling Policy
We also offer flexibility in rescheduling your trip to accommodate unexpected changes. If you wish to reschedule your booking, the following terms apply:
- Reschedule Notice: You may reschedule your tour up to 60 days before the commencement date without incurring additional charges. Your 30% deposit will be transferred to the new tour date, subject to availability and any potential price adjustments due to seasonal changes.
- Conditions for Rescheduling: You may reschedule your booking for reasons such as flight cancellations, government-imposed travel restrictions, or border closures. For any other reasons, please contact us for further assistance.
If rescheduling is requested less than 60 days prior to the tour start date, the standard cancellation terms will apply. Rescheduling is subject to availability and any additional costs from suppliers, accommodations, or transportation providers. We will make every effort to accommodate your preferred new dates, but this cannot be guaranteed during peak seasons.
Force Majeure Clause
In the event of force majeure, such as natural disasters, political instability, or pandemic-related restrictions, Koko Africa Safaris will work closely with you to either reschedule your trip or provide refunds where applicable. However, Koko Africa Safaris cannot be held liable for any non-refundable costs incurred by third-party providers such as airlines, hotels, or other service providers.
Traveler's Responsibility
It is the traveler's responsibility to ensure that all payments are made on time, as per the agreed schedule. Failure to make payments within the specified time frame may result in the cancellation of your booking and the application of the relevant cancellation charges. Travelers are also responsible for ensuring that they have valid passports, visas, and any necessary vaccinations or travel documents required for their trip.
Payment Methods
- Bank Transfers: Payment can be made via bank transfer to our Tanzanian or international accounts. Please note that all bank fees are the responsibility of the payer.
- Credit Cards: We accept payments via Visa, MasterCard, and American Express. A small processing fee may be applied to credit card transactions.
- Mobile Payments: For local travelers, mobile payments (M-Pesa, Tigo Pesa, etc.) are accepted. Contact us for payment instructions.
Additional Information
Any price increases imposed by third-party suppliers (e.g., accommodations, transportation providers) may affect the final payment balance. Koko Africa Safaris will notify you of any such changes prior to your final payment. Any booking changes or special requests must be communicated in advance and may incur additional charges based on the type of request and availability.
Travel Insurance
Koko Africa Safaris strongly recommends that all clients purchase comprehensive travel insurance that covers trip cancellations, medical emergencies, and other unforeseen circumstances that may affect your travel plans. This ensures you are fully protected against potential losses.
